POLICE CLEARANCE CERTIFICATE

Applicants who have lived in Cyprus for a minimum of 6 months and require a police clearance must present the following documentation in person or by mail:
  • For non Cypriot Citizens pink slip/Alien book/yellow slip or any other proof of residence in Cyprus
  • For Cypriot Citizens please submit Cypriot Birth Certificate, Identity Card or Passport
  • Police clearance certificate fees: Money order or bank draft payable to the Accountant General of the Republic of Cyprus for the equivalent of € 20 in CANADIAN DOLLARS. LEGALIZATION OF DOCUMENTS

FOR THE SERVICES BELOW, THE PERSON SIGNING THE DOCUMENT SHOULD BE PRESENT AT THE CONSULATE GENERAL AND MUST BRING AN OFFICIAL IDENTIFICATION DOCUMENT (PASSPORT, ID, PERMANENT RESIDENCE CARD, DRIVER'S LICENSE OR HEALTH CARD)
Please note that the High Commission only authenticates signatures on documents and it does not review or approve the content of the documents

Authentification of Signature

Verification of signatures is done in person at the Consulate General before a Consular officer.

Fees: €8,54 per certification of signature.

Certification of a Cypriot document as a true copy

Please note that only documents emanating from the Republic of Cyprus can be certified as a true copy of the original.
Please present the original document for inspection and a copy of it.

Fees: €1,71 per certification.

Certification of documents verified by the Ministry of Foreign Affairs of the Republic of Cyprus

The signature of the certifying Officer(s) of the Ministry of Foreign Affairs of the Republic of Cyprus may be certified by the Consulate General. Please note that if the seal/signature to be legalized appears on a copied document, this will first need to be certified as a true and authentic copy in Cyprus before being presented at the Consulate General.

Fees: €8,54 per certification of signature.

Power of Attorney

A Power of Attorney allows an individual to authorize someone else to act on his or her behalf. This Power of Attorney document becomes effective immediately upon its signing and stays in effect until the death of the donor or until revoked. The Consulate General provides a General Power of Attorney. If an individual requires a specific Power of Attorney, it is suggested that a lawyer prepare such a document and signature will be certified at the Consulate General.

Affidavit

Affidavit is a written statement sworn to be true before the Consular Officer legally authorized to administer an oath.

APPLYING FOR A CYPRIOT PASSPORT

1. Issue of a Passport

All Cypriot Citizens are eligible for a Republic of Cyprus passport. Applications should be submitted in person at the Consulate General in Toronto for the collection of the applicant's biometric information (photo, signature and finger prints) by a Consular Officer.
You should submit the following documentation:
  • Expired passport issued by the Republic of Cyprus
  • Republic of Cyprus Birth Certificate (photocopies are not accepted)
  • Cyprus National Identity Card (photocopies are not accepted)
  • Certificate of Citizenship (photocopies are not accepted)
  • A Marriage Certificate (in the case of married persons)
  • Police Report (in case of a lost passport)
  • Fee is the equivalent of €70.00

2. Issue of a Passport to children (minors)

All minors wishing to apply for a passport should first be registered as a Cypriot citizen (see relevant section below)
  • Anyone under the age of 18 is regarded as a minor
  • Both parents must accompany any minor
  • If the parents are divorced the consent of both parents is required or a Family Court Decision for parental care
  • Fee is the equivalent of €45.00.

3. Emergency Travel Document (valid for a single trip to Cyprus only)

Persons wishing to apply for an emergency Travel Document must apply in person at the Consulate General in Toronto. They must have with them the following documentation:
  • Two recent photographs sized 4X3cm.
  • Expired passport
  • A Police Report in case of a lost/stolen passport
  • Republic of Cyprus Birth Certificate
  • Fee is the equivalent of €20.00
  • Application Form M9 duly completed

4. Renewal of Passports

Since the introduction of biometric passports, it is not possible to extend the validity of an expired passport. Therefore the applicant must apply to be issued with a new Biometric Passport (please see requirements 1, above).

REGISTRATION OF PERSONS OF CYPRIOT ORIGIN AS CITIZENS OF THE REPUBLIC OF CYPRUS AND THE ACQUISITION OF CYPRIOT CITIZENSHIP BY NATURALIZATION

1. Registration of Minors (under the age of 18)

A. For minors born to a Cypriot father OR for those born

to a Cypriot mother on or after 11/06/1999 you should submit:

  • Fee is the equivalent of € 20,00 + € 8,54 revenue stamp

B. For minors born to a Cypriot mother prior to 11/06/1999, application form M.126 must be submitted with the above documentation as well as following:

2. Registration of Adults of Cypriot Origin (over the age of 18)

A. For persons of Cypriot Origin born on or after 16/08/1960 you should submit:

3. Registration as a result of marriage with a Cypriot Citizen

Applications for registration of persons who have contracted a marriage with a Citizen of the Republic of Cyprus may be submitted on the completion of three years of marriage:

REISSUE OF BIRTH CERTIFICATES

For those persons born in the Republic of Cyprus or are of Cypriot origin who require a replacement of their birth certificate, they can apply to the Consulate General with the following:

ISSUE/REPLACEMENT OF BIOMETRIC IDENTITY CARDS

According to the amended Law on Civil Registry, which was published in the Official Gazette of the Republic of Cyprus, the identity cards issued by the Republic of Cyprus, will, from now on, bear biometric data of their holder.

Minors who have not completed their twelfth year of age on the date of submission of the application are excluded from the obligation to submit their fingerprints and signature.

For the issuance of the new biometric identity cards the new application form (below) should be submitted to the Consulate General of the Republic of Cyprus.

New identity card fees are as follows:

1. Issuance/Renewal of an identity card with biometric data € 30
2. Issuance/Renewal of an identity card with biometric data of limited duration for a minor € 20
3. Replacement of an identity card with biometric data € 30
4. The first and each subsequent replacement of an identity card with biometric data due to loss or theft or damage € 30
5. The first and each subsequent replacement of an identity card with biometric data of limited duration for a minor due to loss or theft or damage € 20

Necessary documents for issuing an identity card with biometric data

• Completed application form
• Existing identity card of the Republic of Cyprus (if applicable)
• Original birth certificate of the applicant
• Original certificate of marriage/divorce (for surname change)
• Passport, if the applicant holds another citizenship in addition to the Cypriot one.


REPATRIATION TO CYPRUS

A Cypriot citizen that wishes to repatriate from Canada to Cyprus should obtain a Certificate of Canadian Permanent Residency from the Consulate General, in person or by mail, by presenting the following documents:
  • Statement of Contribution from the Canada Pension or last 10 years of income tax returns in Canada
  • Cypriot or Canadian Passport
  • Fees: €8,54

Note: If the application is made by mail, please include a money order for the amount equivalent of € 8,54 made out to the Accountant-General of Cyprus and include a prepaid or self-addressed return envelope.

CONSULAR PROTECTION FOR EUROPEAN UNION CITIZENS

In countries where Cyprus does not have a Diplomatic or Consular representation, any citizen of EU Member-State may request European consular assistance by applying for help to an Embassy or Consulate (not an Honorary Consulate) of another EU Member-State.
To be eligible for such assistance the applicant must be a national of a EU Member-State, be in severe distress abroad, in a country which is not part of the EU, and there must be no accessible Embassy or Consulate. The consular assistance provided is limited only to genuine emergencies e.g. death, accidents involving serious injury or serious illness, arrest or detention, repatriation on medical grounds, or the need of the issuance of a temporary travel document (lost or stolen passport ).

CIVIL MARRIAGE IN CYPRUS

1. CELEBRATION OF CIVIL MARRIAGES
The contracting of civil marriage in Cyprus has been valid since 1923. As the procedure is simple many couples from all over the world come to celebrate their marriage in Cyprus and combine this event with holidays.
Persons desiring to have their marriage celebrated in Cyprus under the provisions of the Marriage Law 104(I) of 2003, may only apply, after their arrival in Cyprus, personally, to the Marriage Officer of the Municipality of their choice, in order to go through certain formalities which are necessary prior to their marriage.
2. PROCEDURE TO BE FOLLOWED
(a) As a first step, the interested persons who should be in possession of legal identification (passports and birth certificates) have to fill in, sign and submit to the Marriage Officer a joint application called “Notice of Marriage” indicating their will to marry each other and containing their particulars on the basis of their passport.
(b) At he same time, each of the two parties must make a declaration on oath or affirmation before the Marriage Officer that they know of no impediment or other lawful hindrance to their marriage.
(c) The interested persons should also furnish an official certificate indicating that they are not married. If however the Marriage Officer has any doubt about the accuracy or genuineness of the certificate furnished by the interested persons, or if the interested persons are unable to produce such an official document (like British citizens) they will be called upon to make a sworn declaration before the Registrar of a District Court that they are single and have never been married before. However divorcees have to present the “Decree Absolute” of their dissolved marriage and widows/ers have to present the “Certificate of Death” of their late partner. Also they both have to make a declaration on oath (affidavit) that they have never been married again since then.
(d) When these formalities have been completed, the marriage must be celebrated within 15 clear days at the earliest, or within 3 months at the latest, from the date the notice is given. If, for any reason, the marriage is not celebrated within 3 months, the notice given and all consequential proceedings are considered to be void. In fact, interested persons, in order to have a civil marriage by notice should stay in Cyprus for about 20 days.For prescribe fees, please counsult the municipality where the ceremony will take place at http://www.ucm.org.cy/Index.aspx?Language=ENG
(e) In case of urgency, however, or if they so wish, the interested persons may apply to the Marriage Officer to fix an earlier date, by paying advanced fees. In this case the marriage can be celebrated within 2-3 working days.

3. PERSONS UNDER EIGHTEEN YEARS OF AGE
If either party to the intended marriage, not being a widower or a widow, is under eighteen years of age, the written consent of the father, or if he is dead or incapable of consenting, of the mother or, if both are dead or incapable of consenting, of the lawful guardian of such party, must be produced to the Marriage Officer on their application.
4. PENALTY FOR A FALSE STATEMENT
If should be pointed out that any person who wilfully makes or inserts any false statement in any declaration, certificate or other document required by Law to be made or issued is liable to imprisonment.
5. RELIGIOUS CEREMONY
A civil marriage may be celebrated either by the Marriage Officer, or by a Registered Minister of Religion at his church. In this case all the same procedure should also be followed at the municipality, but the religious ceremony can be held at a church.
All necessary arrangements with the Registered Minister and the church should be carried out by the interested persons.
6. CERTIFICATE OF MARRIAGE
The couple is supplied with a certificate of marriage by the Marriage Officer, but if they want to secure one or more certified copies of the certificate they can apply to the Marriage Officer or to the Ministry of Interior.
7. COPY TO BE FORWARED TO THE EMBASSY OF FOREIGN NATIONALS
It should also be pointed out that, according to the Law, if either of the parties to the intended marriage is a subject of a foreign country having an Embassy or a Consulate in Cyprus, the Marriage Officer shall forward to the Embassy or the Consulate of such country in Cyprus a certified copy of the certificate of marriage.

MILITARY SERVICE INFORMATION

Exemption from military service

If a male Cypriot citizen aged 15-26 is a resident or citizen of Canada, and requests an exit permit, or an exemption from performing military service in Cyprus, he must first attain a Certificate of Permanent Residency from the Consulate General. He will then present this Certificate to the Ministry of Defense along with his application for exemption from performing his military service.

For the issuance of a certificate of permanent residence in a foreign country in order to be submitted to the Ministry of Defense for exemption from military service, the following documents should be provided by the applicant:
  • Valid passport
  • Proof of date of first entry to the foreign country

  • Copy of current passport
  • Prepaid return envelope with return address

DEATH CERTIFICATES


In the event of the death of a Cypriot citizen abroad, you should immediately notify the Consulate-General through the funeral home in order to issue a Death Certificate. The following documents of the deceased should be submitted:

REPATRIATION OF MORTAL REMAINS AND HUMAN ASHES

Assistance in the event of death
In the event of the death of a Cypriot visitor in Canada, it is advisable to gather as much information as possible about the deceased and the circumstances of his/ her death
If the deceased was travelling alone and his/ her family or acquaintances have not been informed of his/her demise, this information will be immediately transmitted to the Cypriot Ministry of Foreign Affairs, which via the Cyprus Police will inform and maintain contact with the relatives so that they can make all the necessary arrangements.
In those cases that the deceased was travelling with friends or relatives, they have to inform the soonest the local police and the Consulate General.

Repatriation of the Deceased
With the consent of the relatives, the Consulate General will assist with the repatriation of the body. The funeral home in Canada will obtain a death certificate and a copy of an official report or autopsy report. If the family of the deceased wishes to repatriate the body, the Consulate General will inform them of the procedures and provide the relevant assistance. However, under no circumstances will it cover any expenses incurred by repatriation of the body to Cyprus, unless the relevant amount of money is deposited in advance with the Accounts Department of Ministry of Foreign Affairs and / or an Assumption of Responsibility form is signed by the relatives.

Return of human remains to Cyprus
The mortal remains should be placed in a carefully soldered lead or zinc coffin, with its base covered with absorbent material. It shall, then, be placed into an outer coffin made of wood at least 20 mm in thickness. Where death was due to a contagious disease, the dead body or remains should be wrapped in a shroud impregnated with an antiseptic solution.

Requirements
The following documents should be submitted to the Consulate General by the funeral home on behalf of the bereaved family, before the coffin is sent to Cyprus. Two sets of original documents should be forwarded to the Consulate General in order to issue a Transportation Permit Certificate to assist with the export of the mortal remains:
· Medical Certificate of Death issued by the Provincial Authorities
· Statement of Death issued by the Provincial Authorities
· Burial Permit issued by the Provincial Authorities
· Certificate by the Provincial Authorities for the shipment of the body abroad
· Certificate from the Health Authority of the City stating that the deceased was not reported to have a communicable disease.
· Letter from the Funeral Home stating embalmed process
· Letter from the Funeral Home stating flight schedule for the transportation of the body
· Copy of the Passport of the deceased
· Airway bill and name of the consignee (person/funeral home) to receive the coffin upon arrival in Cyprus so that the Consulate General will inform the Cyprus Health Services accordingly and issue a free pass license exempting customs clearance.
Note: All the above provisions do not apply to the international transport of ashes.

Transfer of human ashes
The person who will transfer human ashes to the Republic of Cyprus should request a Transportation Permit Certificate from the Consulate General to assist the transfer.
The following documents are required:
- Original cremation certificate duly certified by the Provincial Government
- Original death certificate duly certified by the Provincial Government
- Passport of the person who will transfer the ashes
- Flight itinerary
Please make the above arrangements at least two weeks before your travel. This letter is addressed only to the Authorities of the Republic of Cyprus. If you will be transiting in another airport, please refer to your airline carrier for the necessary arrangements that have to be made.

CYPRUS - CANADA PENSIONS AND BENEFITS

The Social Security Agreement between Cyprus and Canada came into force on the 1st of May 1991. The purpose of this Bilateral Agreement is the coordination of the Social Security Systems of the two countries in order to:

  • ease or eliminate restrictions on the payment of social insurance benefits beyond the territory of each country.
  • allow the persons who move between the two countries to be entitled to benefits by aggregating the periods of residence or insurance in the two countries,
  • and avoid the possibility of paying contributions to the insurance systems of both countries for the same work.
